BioFace ("we," "our," or "us") is a biometric authentication and attendance system, which is a port of ManpoSys (Manpower company management software), licensed to Vyakriti Software Solutions. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website, use our web application, or use our mobile applications (available on Android and iOS). Biometric Data (Facial Recognition)

As a core function of our service, we collect and process facial geometry and feature data ("Biometric Data") to provide secure authentication and attendance services. This data is extracted from photographs or video streams provided by you via your device's camera.

Personal Data

We may collect personally identifiable information, such as your name, email address, and employee/user ID, when you register with the application.

Location Data

To verify that clock-in and clock-out events occur within designated workspaces, we collect precise location data (coarse and fine location). This includes background location tracking when the app is closed or not in use, strictly for verifying proximity to assigned work locations (geofencing) during active shifts.

Mobile Device Access

We request access and permissions for specific device capabilities, including the camera (for face recognition verification), storage (to temporarily cache local data), location services (precise and background location for geofencing compliance), and notification services (for reminders and warnings). You can manage or revoke these permissions at any time through your device’s system settings.

  • Attendance Management: To record logs of presence or activity as requested by your organization.
  • Security: To prevent unauthorized access and protect against fraudulent activity.
  • Application Improvement: To analyze usage trends and improve the accuracy of our biometric models.

4. Data Storage and Security

We use administrative, technical, and physical security measures to help protect your personal information. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable.

Encryption: All Biometric Data and personal information are encrypted in transit using SSL/TLS and at rest using industry-standard AES-256 encryption.

5. Biometric Data Retention

We will retain your Biometric Data only for as long as is necessary for the purposes set out in this Privacy Policy. Specifically, your facial templates are stored until your account is deleted or until your organization terminates its contract with us. We do not store original raw images unless explicitly consented to for audit purposes.

6. Platform Specific Disclosures

iOS / Apple App Store

We comply with Apple's requirements regarding the use of FaceID and camera data. We do not use facial data for marketing or advertising purposes.

Android / Google Play Store

We adhere to the Google Play Developer Program Policy regarding the collection and use of sensitive personal information, ensuring transparent disclosure and user consent.
